Terms of Service

The deal between your club and ClubEzy, written the way we’d want it explained to us.

These terms apply when you use ClubEzy — the members app on the web, iOS and Android, the admin portal, and this website. If you set up a club on ClubEzy, you are agreeing to these terms on behalf of that club or association. If you use ClubEzy as a member, parent, coach or volunteer, they apply to you too.

1. The service

ClubEzy is club management software for sports clubs and associations. It covers registrations and a custom form builder, events and attendance, team chats, direct messages and announcements, player assessments, match reports and trials, gear and kit ordering, sponsors and a member business directory, compliance and accreditation tracking, document libraries, and an admin portal with reporting and season management.

ClubEzy does not process payments. Registration fees and gear orders are recorded in the platform and tracked through their status, but money is collected by your club outside ClubEzy, using whatever method your club already uses. Any references on this site to upcoming capability — including in-app payments and the federation layer — describe what we intend to build, not what exists today.

2. Accounts

You need an account to use ClubEzy. Keep your login details to yourself, use accurate information, and tell us if you think someone else has got into your account. You are responsible for what happens under your account.

Accounts for children under 18 are linked to a parent or guardian account. The guardian controls whether the child’s login is enabled and can see what that account participates in, including chats. Adults who create or manage a child’s account are responsible for how it is used.

3. Pilot terms

ClubEzy is currently in pilot, and during the pilot it is free. There is no fee, no credit card and no minimum term.

  • Features may change during the pilot — things get added, reworked and occasionally removed as we build alongside the clubs using the platform.
  • Pricing will be introduced at some point after the pilot. We will announce it before the pilot ends and give pilot clubs fair notice before any charge applies, so a committee has time to decide.
  • You are never automatically enrolled into a paid plan. If you don’t want to continue when pricing starts, you don’t have to.

4. Acceptable use

Don’t use ClubEzy to:

  • harass, bully, threaten or abuse anyone, or post content that is unlawful, defamatory, obscene or hateful;
  • put children at risk, or access information about a child you have no legitimate club reason to see;
  • access accounts, clubs or records you have not been given permission to access, or try to get around the platform’s permissions, security or rate limits;
  • upload malware, scrape the platform, or use it to send spam;
  • use another club’s or member’s data for anything other than running your club — in particular, don’t use member contact details for unrelated marketing;
  • break any law that applies to you, your club or your sport.

Chat, announcements and other content posted in ClubEzy are the responsibility of the people and clubs who post them. Clubs can moderate their own chats — including closing them, with an archived transcript. We can suspend accounts or remove content that breaches these terms, particularly where safety is involved.

5. What clubs are responsible for

ClubEzy is the software. Running the club is still the club’s job, and that includes:

  • the accuracy of the member, team, medical and emergency information it enters or asks members to enter;
  • obtaining the consents it needs from parents and guardians when registering minors, and any consents its sport or federation requires;
  • its safeguarding obligations — Working-with-Children checks, accreditations, codes of conduct, mandatory reporting and child safe policies. ClubEzy helps you track and evidence these, but the legal obligation stays with the club and the people who hold those roles;
  • who it grants administrator, coach and manager access to, and what those people can see;
  • collecting any fees it charges, and honouring the gear and registration commitments it records in the platform.

6. Who owns what

Your club’s data is your club’s. Members own the content they post. We don’t claim ownership of member records, messages, documents, photos, assessments or reports.

You give us the limited licence we need to actually operate the service — to store, copy, transmit and display that content so ClubEzy can deliver it to the right people, back it up, and provide support when you ask for it. That licence exists to run the platform and for nothing else.

ClubEzy owns the software, the platform and our branding. These terms don’t give you any right to copy or resell it.

7. Availability

We use reasonable efforts to keep ClubEzy available and working. During the pilot we do not offer a guaranteed uptime level or a service credit scheme. Maintenance, outages at our infrastructure providers, and the occasional bug are all real possibilities — for anything genuinely critical on match day, keep a fallback.

8. Liability

Nothing in these terms excludes, restricts or modifies any guarantee, right or remedy you have under the Australian Consumer Law that cannot lawfully be excluded. Where our liability can be limited, it is limited to re-supplying the service or the cost of re-supplying it. Because ClubEzy is free during the pilot, no fees have been paid to refund.

To the extent permitted by law, we are not liable for indirect or consequential loss, lost data where you have not kept your own records, or loss arising from how a club or its members use the platform — including decisions about selection, safeguarding, medical matters or money.

9. Ending it, and your data

You can stop using ClubEzy at any time, and a club can close its organisation. We can suspend or end access where these terms are seriously or repeatedly breached, or where we have to for legal or safety reasons.

Being straight about what happens to your data: membership history is never hard-deleted. Seasons and organisations are archived rather than destroyed, so closing a season or leaving keeps the underlying history intact rather than erasing it. Before you go, admins can export member, attendance, compliance and performance data as CSV from the Reports Hub. If you want information actually deleted rather than archived, ask us — see ourPrivacy Policy for how we handle that.

If we ever discontinue the service, we will give clubs notice and a reasonable window to export their data.

10. Changes to these terms

We will update these terms as ClubEzy changes, and the date at the top will change with them. For material changes — pricing in particular — we will give notice in the product before they take effect. Continuing to use ClubEzy after that means you accept the updated terms.

11. Governing law

These terms are governed by the laws of New South Wales, Australia, and the courts of New South Wales have jurisdiction over any dispute.
